This policy explains what personal information JobSpidey collects, how we use it, when we share it, how long we keep it, and what rights you may have.

1. Overview

This Privacy Policy explains how JobSpidey collects, uses, stores, shares, and protects personal information when you use jobspidey.com and related services. It covers our public website, account registration, job-search tools, document generation features, support channels, and billing flows.

By using JobSpidey, you acknowledge this Privacy Policy. If you do not agree with it, please do not use the service.

2. Who we are

JobSpidey is a software service that helps users manage a job search, discover job listings, prepare resumes and cover letters, and track applications. For privacy questions, access requests, correction requests, or complaints, you can contact us at support@jobspidey.com.

3. Information we collect

The information we collect depends on how you use the service. We may collect information directly from you, from your device and browser, from service providers, and from connected tools you choose to use.

  • Account information, such as your email address, password hash, login method, and account status.
  • Profile information, such as your name, address, preferred country, and any details you add to your account.
  • Resume and application materials, including your uploaded master resume, document text, generated resumes, generated cover letters, template preferences, and application history.
  • Job-search inputs, such as role, location, salary filters, posting-date filters, and related search parameters.
  • Billing and subscription information, such as plan tier, billing status, Stripe customer or subscription references, and top-up or credit history. We do not store full payment card details ourselves.
  • Support and communications data, including support messages, attachments, email interactions, and admin-support notes needed to help you.
  • Technical and usage data, such as IP-derived signals, device/browser details, login events, error logs, feature usage, and task-processing diagnostics.
  • Third-party identity information when you use Google sign-in, such as your verified Google email and identity token claims needed to authenticate you.

4. How we use your information

We use personal information to provide and improve the service, keep accounts secure, process payments, respond to support requests, and comply with legal obligations. We only aim to collect and use information where there is a legitimate operational reason to do so.

  • To create and maintain your account.
  • To authenticate you, including through Google sign-in where enabled.
  • To process uploads and prepare resumes, cover letters, and application materials you request.
  • To search for job listings, track applications, and show status or analytics inside the product.
  • To manage subscriptions, credits, billing history, and payment flows.
  • To communicate with you about verification, password resets, billing issues, support matters, service changes, and important security or legal notices.
  • To monitor reliability, detect fraud or abuse, diagnose errors, and protect the platform and other users.
  • To meet legal, regulatory, accounting, tax, security, or enforcement obligations.

5. AI and automated processing

JobSpidey uses AI providers to help analyse job descriptions and prepare resume and cover-letter content. This means portions of your uploaded or generated content may be processed by trusted AI infrastructure used to operate the service.

When we use AI providers, we aim to send only the parts of your resume, profile, job inputs, and related job-description content that are reasonably necessary to generate the requested resume or cover letter.

We do not sell your personal information and we do not make money by selling your resume, profile, or application data. However, once required data is sent to third-party AI providers, those providers may process, retain, filter, log, review, or otherwise use prompts and outputs under their own terms and privacy policies for service operation, abuse monitoring, safety review, security, legal compliance, service improvement, training, evaluation, or related internal purposes.

We do not control the internal systems, training practices, model-improvement processes, review workflows, retention settings, or future policy changes of third-party AI providers. If we change providers or use additional models over time, those providers may apply different data-handling practices.

AI outputs may be inaccurate or incomplete. You remain responsible for reviewing all generated material before sending it to an employer or using it for any real-world decision.

We may also use service data in aggregated or de-identified form to monitor reliability, understand product usage, and improve the service, provided it is no longer reasonably identifiable to you.

6. When we share information

We do not sell your personal information. We may share information where needed to run the service, where you ask us to, or where the law requires it.

  • Infrastructure and hosting providers used to run JobSpidey, such as cloud hosting, storage, logs, and database services.
  • Authentication, email, and support providers used to send verification emails, password resets, support responses, and related service communications.
  • Payment processors and billing providers, such as Stripe, to process subscriptions, top-ups, renewals, cancellations, and billing updates.
  • AI providers used to process prompts and generate resume or cover-letter output.
  • Professional advisers, regulators, law enforcement, or courts where disclosure is reasonably necessary to protect rights, investigate misuse, or comply with legal obligations.
  • Business counterparties if we restructure, sell, or transfer all or part of the business, subject to appropriate confidentiality protections where required.

7. Overseas disclosure

Some service providers we use may store or process information outside New Zealand. Where personal information is disclosed outside New Zealand, we aim to do so consistently with the New Zealand Privacy Act 2020, including by working with providers that are subject to suitable privacy and security obligations or provide comparable safeguards.

By using JobSpidey, you understand that your information may be processed in countries outside New Zealand as part of the normal operation of cloud, billing, authentication, email, analytics, and AI services.

8. Security

We take reasonable steps in the circumstances to protect personal information against loss, misuse, unauthorised access, disclosure, alteration, and destruction. These measures include access controls, account authentication, managed infrastructure, and operational safeguards appropriate to the service.

No online service can guarantee absolute security. If we become aware of a serious privacy breach, we aim to respond promptly and, where required by law, notify affected people and the New Zealand Privacy Commissioner.

You are also responsible for protecting your own account credentials and for using secure devices, browsers, and networks where reasonably possible.

9. Retention

We keep personal information for as long as reasonably necessary for the purposes described in this policy, including to operate your account, provide the service, comply with legal obligations, resolve disputes, enforce agreements, and maintain records needed for security or fraud prevention.

Some information is retained longer where required for billing, audit, security, legal, or operational reasons. Deleted application files and generated documents may also be subject to scheduled cleanup or retention workflows described in the product.

Backups, logs, and fraud-prevention records may persist for a reasonable period even after you delete content or close your account.

Third-party providers, including AI providers, may keep separate logs or records under their own retention schedules and policies after information has been transmitted to them.

10. Your rights

Depending on the laws that apply to you, you may have the right to request access to personal information we hold about you and to ask us to correct information that is inaccurate.

For users in New Zealand, the Privacy Act 2020 generally provides rights of access and correction. If you want to exercise those rights, contact us at support@jobspidey.com.

If you are not satisfied with how we handle a privacy concern, you may also have the right to complain to the New Zealand Privacy Commissioner or another relevant regulator in your jurisdiction.

  • Access: you can ask what personal information we hold about you.
  • Correction: you can ask us to correct information you believe is wrong or incomplete.
  • Account actions: you can also update certain account information directly inside the product.

11. Cookies, local storage, and analytics

JobSpidey uses browser storage and similar technologies to keep you signed in, remember settings such as theme or in-progress workflow state, maintain session behavior, and improve product reliability.

We may also use technical analytics or diagnostic tooling to understand product performance, reliability, feature usage, and errors. These tools are used to operate and improve the service, not to sell your personal information.

12. Children

JobSpidey is intended for people using a professional job-search tool. It is not directed to children. If we learn that we have collected personal information from a child in a way that should not have happened, we will take reasonable steps to delete or limit that information as appropriate.

13. Changes to this Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in the service, laws, providers, models, or operational practices. When we make material changes, we will update the "Last updated" date on this page and may provide additional notice where appropriate.
